Summary

We are seeking a highly organized and proactive Project Coordinator / Manager with 5+ years of experience in managing multi-functional projects, coordinating teams, and ensuring smooth delivery of client objectives across eCommerce and IT service operations.

This role serves as the bridge between clients, internal teams, and leadership — ensuring every project is executed on time, within scope, and aligned with quality standards. The ideal candidate should possess strong communication skills, process discipline, and the ability to handle multiple projects simultaneously while maintaining operational efficiency and client satisfaction.

The role demands both strategic planning and hands-on execution, combining project oversight with deep ownership of delivery processes, documentation, and reporting.

Key Responsibilities

(A) Project Planning & Coordination
1. Define project scope, deliverables, and timelines in collaboration with clients and internal stakeholders.
2. Prepare comprehensive project plans, work breakdown structures (WBS), and resource allocation charts.
3. Ensure all stakeholders clearly understand project objectives, deliverables, and expectations.
4. Maintain project documentation including charters, SOWs (Statement of Work), status reports, and meeting notes.
5. Coordinate daily stand-ups and weekly progress meetings to align teams on goals and deadlines.

(B) Team Management & Resource Allocation
1. Assign tasks and responsibilities across functional teams (design, development, operations, QA, etc.).
2. Monitor progress through project management tools (e.g., ClickUp, Asana, Trello, or Jira).
3. Identify and resolve resource bottlenecks to keep timelines and quality on track.
4. Foster cross-department collaboration and maintain accountability within team members.
5. Coach and support team members to improve performance and ensure process adherence.

(C) Client Communication & Relationship Management
1. Act as the primary point of contact for clients throughout the project lifecycle.
2. Communicate project updates, milestones, and potential risks with transparency and professionalism.
3. Collect and document client feedback, ensuring prompt action and resolution.
4. Build long-term client relationships through proactive communication, reliability, and consultative support.
5. Identify upsell or cross-sell opportunities during project interactions and relay to business development.

(D) Execution, Monitoring & Risk Control
1. Track project performance using defined KPIs (budget, time, quality, client satisfaction).
2. Conduct regular quality reviews and risk assessments to ensure project health.
3. Identify potential issues early and implement corrective measures to mitigate risk.
4. Manage project changes effectively, ensuring all scope adjustments are properly documented and approved.
5. Escalate critical issues to senior management with recommended solutions.

(E) Reporting, Documentation & Continuous Improvement
1. Maintain detailed project documentation, including progress reports, deliverable checklists, and sign-offs.
2. Generate weekly and monthly status reports for clients and leadership.
3. Analyze post-project metrics (time variance, cost variance, delivery quality) to identify improvement areas.
4. Standardize project delivery templates, communication guidelines, and documentation practices.
5. Contribute to process improvement initiatives and best practice development for future projects.

Qualifications & Eligibility

• Bachelor’s or Master’s degree in Business Administration, Project Management, or Information Technology.
• Minimum 5 years of experience in project coordination or management within IT, eCommerce, or outsourcing domains.
• Certifications in PMP, Agile, or Scrum Master (preferred but not mandatory).

Skills & Competence

• Strong understanding of project management methodologies — Agile, Waterfall, and Hybrid models.
• Excellent communication, leadership, and problem-solving abilities.
• Proficiency with project management tools like ClickUp, Asana, Trello, or Jira.
• Strong documentation and reporting skills (Excel, PowerPoint, Google Workspace).
• High attention to detail with the ability to manage multiple projects concurrently.
• Knowledge of resource allocation, budgeting, and risk assessment techniques.
• Collaborative mindset with the ability to lead diverse teams effectively.
• Ability to translate client requirements into actionable project tasks.
• Strong negotiation and stakeholder management capabilities.
• Proactive attitude with a focus on delivering results and client satisfaction.
